Workmatch – Terms and Conditions

Please read these terms and conditions carefully before using Workmatch. By creating an account or using our services, you agree to these terms in full.

The service provides technical tools for:

Creating and managing user profiles

Publishing job ads and freelance assignments

Communication between parties in the hiring process or freelance projects

Invoicing and reporting related to recruitment assignments and freelance assignments

Workmatch’s own social platform for networking, sharing, and interaction between users

Automatic updates and publication of relevant information within the platform to keep users informed and engaged

Workmatch does not act as an employer, intermediary, recruitment agency, or legal party in agreements entered into between users. All contact, negotiations and agreements take place directly between users — as job seekers, recruiters or companies. The platform should be considered a technical and administrative tool.

2. User types

Workmatch can be used by different types of users. These are defined and covered by different rights and obligations depending on role:

2.1 Job seekers

Individuals who:

Register an account on Workmatch to look for employment

Create a profile and upload relevant documents such as CV, cover letter, certificates, etc.

Apply to advertised roles and communicate with potential employers

May be actively matched and contacted by recruiters and companies, including for roles you did not apply to

As a job seeker, you are actively matched to open roles based on the information you provide in your profile. Your profile may be shown to employers and recruiters even if you have not applied to their ads, in order to increase your chances of being discovered and contacted.

Job seekers are responsible for ensuring that all information provided is truthful and up to date, and for acting professionally in all communication on the platform.

2.2 Recruiters

Third parties, such as staffing or recruitment companies, who:

Use the platform to manage assignments from their clients

Publish ads, search for candidates, review profiles and schedule interviews

Handle invoicing through the system in accordance with their own client agreements

Recruiters may access certain information about job seekers depending on the system’s permission settings. They are obliged to process these data in accordance with GDPR.

2.3 Companies

Organizations, public authorities, non-profits, and other legal entities that:

Publish their own job ads

Manage applications and run recruitment processes directly

Communicate with candidates and make hiring decisions

Companies are fully responsible for the content of their ads and for complying with applicable legislation (e.g., anti-discrimination law and employment law).

2.4 Freelancers

Freelancers are independent professionals who use Workmatch to find assignments and offer their services to companies or recruiters. As a freelancer you can:

Create a professional profile describing your skills, past assignments, references and pricing

Apply to projects or be contacted directly by clients

Communicate and negotiate terms via the platform’s messaging feature

Manage invoicing and follow-up of assignments via integrated tools (if available)

Freelancers are responsible for ensuring their information is correctly registered in accordance with applicable laws (e.g., F-tax in Sweden) and that invoicing is handled as agreed with the client. Workmatch is not responsible for the contents of agreements or whether assignments are completed.

3. Account registration and user security

To use Workmatch services, you must register a user account. When registering and using the account, you agree to:

Provide correct, complete and up-to-date information: This includes contact details, identity, work experience, etc.

Not impersonate someone else: It is prohibited to use a false identity or create accounts in someone else’s name.

Protect your password and keep it confidential: You are responsible for ensuring that no unauthorized person gains access to your account.

Immediately inform Workmatch if you suspect unauthorized access or security incidents.

Account control and policy violations

Workmatch reserves the right to:

Reject or limit the creation of an account if the terms are not followed

Temporarily or permanently suspend an account if there is suspicion of violations of these terms, misuse of the service, or violations of Swedish law

Take technical or legal measures to protect the platform and its users

4. Service functionality and use

Workmatch är en digital plattform utformad för att förenkla rekryteringsprocesser genom att erbjuda en rad funktioner som stödjer interaktion mellan arbetssökande, rekryterare och företag. Plattformen är tillgänglig via webbläsare och/eller mobila enheter.

4.1 Functionality provided

Workmatch provides the following service functions:

User profiles

Ability to create and update personal or company profiles

Inclusion of information such as CV, work experience, education, references, desired work area, languages and availability

For job seekers: option to hide profile or choose visibility

For companies/recruiters: options to display company description, logo and published ads

Job postings

Publishing, deleting and removing ads

Categorization by industry, employment type, location, etc.

Ability to link ads to specific recruiters or internal processes

Time-limited publishing with choice of visibility level (standard or premium)

Communication and messages

Built-in messaging for secure and structured dialogue between users

Automatic notifications for new messages, applications or updates

History log for previous communication and activity

Invoicing and integrations

Invoicing services for recruiters linked to ads, recruitment assignments and service purchases

Integration with external invoicing or accounting systems

Automated reports for administration and follow-up

4.2.1 Limitations and liability

Workmatch acts as a neutral digital platform and has no responsibility for:

Users following through on contact, recruitment or employment

The quality, truthfulness or legality of published ads

User conduct, response times or tone of communication

Discrimination or breaches of labor law that occur outside the platform

The platform offers technical support but is not a guarantee that matches lead to actual employment or assignments.

4.2.2 Limitations and liability

Workmatch offers technical support but is not a guarantee that matches lead to actual employment or assignments. All decisions made based on the platform’s features, recommendations or matches are at the user’s own risk.

We provide no guarantees for accuracy or suitability in matching proposals, employment or assignments. Our AI-based features are under continuous development and may generate incorrect, irrelevant or misleading recommendations. As a user, you are fully responsible for carefully reviewing, evaluating and assessing all ads, profiles, communication and agreements before proceeding.

When you register an account on Workmatch, you agree that your user profile may be shown to recruiters and employers, even if you have not applied for a specific service. Employers may therefore contact you or invite you to apply for selected services based on the information in your profile.

5. Fees and payment

Some of Workmatch’s services are subject to fees and require payment under specific terms. Fees vary depending on user type, scope of service and selected add-ons.

Free publishing of first listing

Companies that register on Workmatch can publish their first job ad free of charge, with full access to the platform's features for the duration of that ad. This includes candidate matching, access to candidate profiles, messaging, and the Recruiter Marketplace.

To publish additional job ads, a paid subscription is required according to the current price list.

Changes to free features

Workmatch is under active development. We reserve the right to change which features are included free of charge and which require a paid subscription.

In the event of material changes to what is included free of charge, we will notify affected users at least 30 days in advance by email or message on the platform. Ongoing, already published job ads are not affected retroactively — they will be completed according to the terms that applied when the ad was published.

Users who do not accept a change may close their account at no cost before the change takes effect.

5.1 Examples of paid services

Premium advertising: Increased visibility, prioritized placement and labeling in search results

Recruitment services: Access to candidate database, filtering tools, automated screening

Integrations: Connection to third-party tools for invoicing, accounting or HR systems

Technical support/training: Prioritized customer support, onboarding and user training

Prices and payment terms are always presented at the time of ordering and must be accepted by the user before the purchase is completed.

5.2 Invoicing and payment terms

Payment is made either via prepayment, subscription or invoice depending on the service

Invoices must be paid by the stated due date, normally 15 or 30 days net

In case of non-payment, Workmatch has the right to:

Charge late payment interest in accordance with the Interest Act

Restrict or suspend access to services

Take debt collection measures in accordance with applicable law

5.3 Price changes

Workmatch reserves the right to change prices and payment terms. Users will be informed of such changes with reasonable notice (at least 30 days before entry into force). Existing agreements are not affected retroactively.

5.4 No refunds

All purchases and payments made for Workmatch services are final. Workmatch offers no refunds, in whole or in part, for already activated services regardless of use, activity level or perceived benefit. This also applies to:

Closed ads or accounts before the end of the service period

Perceived lack of results (e.g., no candidates, few views, no hire)

Technical issues that are not caused by Workmatch

Incorrect use or entry of information by the user

6. Allocation of responsibilities

To ensure safe and fair use of Workmatch’s services, responsibilities are clearly distributed between the platform and its users. Below, the responsibilities are specified:

6.1 Workmatch responsibilities

Workmatch undertakes to:

Operate and maintain the platform with reasonable technical availability, stability and security.

Protect personal data in accordance with applicable data protection legislation (GDPR), including appropriate technical and organizational safeguards.

Inform users in good time about major changes to the service’s functionality, prices, terms or policies.

Limitation of liability

Workmatch expressly disclaims all liability for:

Content in job ads: We do not review every ad in detail and are not responsible for its accuracy, legality, completeness or timeliness.

Recruitment outcomes: We do not guarantee that a candidate will be hired, or that a job offer will result in employment.

Financial losses or damages: including but not limited to lost business opportunities, lost income, personal injury or other consequential damages arising from use of the platform.

Conduct of users or third parties: including fraud, discrimination, misleading information or inappropriate communication.

Technical interruptions: such as operational disruptions, system errors, data breaches or loss of information due to causes beyond our control.

Incorrect information: uploaded or provided by other users on the platform.

In all circumstances, Workmatch’s total liability is limited to the amount the user may have paid for the service during the last 12 months, unless otherwise required by mandatory law.

6.2 Company responsibilities (employers and legal entities)

Companies that use Workmatch to publish ads and manage candidates are responsible for:

Ensure that all published information is correct, up to date and not misleading.

Comply with Swedish legislation, including anti-discrimination laws, employment law rules and the General Data Protection Regulation (GDPR).

Protect and correctly handle collected personal data from candidates, and inform about their own privacy policy if necessary.

Fulfill offers, agreements and hiring decisions in accordance with applicable law and good practice.

6.3 Job seeker responsibilities

As a job seeker on Workmatch, you undertake to:

Provide truthful and up-to-date information in your profile, including contact information, work experience, education, etc.

Independently decide whether a job offer is relevant, serious and in line with your requirements and values.

Act professionally and respectfully in all communication via the platform, whether with employers, recruiters or support staff.

Any consequences of providing incorrect information or abusing the platform may lead to account suspension and possible legal action.

7. Intellectual property rights

All material appearing within the Workmatch platform is protected under copyright law and other applicable intellectual property rules.

7.1 Ownership of content

The following belongs to Workmatch AB or its licensors:

Software, code, user interface and database structure

Logos, graphics, design and trademarks

Text, layout and instructions

Documentation and technical structure

No part of the service may be copied, modified, republished or distributed without written permission from Workmatch.

7.2 User-generated content

When you as a user upload material to the platform (e.g., CV, company description, ads, images), you grant Workmatch:

A non-exclusive, limited, revocable and royalty-free license

To use the material for the purpose of providing and improving the service (e.g., displaying ads, performing matching, presenting profiles)

Workmatch does not take ownership of user-generated content but reserves the right to:

Remove inappropriate, illegal or misleading content

Use anonymized material for statistics, analysis and product development

8. Termination and closure

Workmatch provides its services on the condition that users comply with these terms. User accounts may be terminated both at the user’s initiative and by Workmatch, as set out below.

8.1 Termination by the user

You as a user may terminate your account at any time by logging in and deleting it via settings or by contacting support.

Upon termination, your personal data are deleted or anonymized in accordance with our [Privacy Policy], unless we are required to retain certain data by law (e.g., invoice data under bookkeeping rules).

Workmatch may retain aggregated and anonymized information for statistics, research or business development, which cannot be linked to you as an individual.

8.2 Termination or restriction initiated by Workmatch

Workmatch reserves the right to temporarily or permanently suspend, restrict or delete a user account in the event of:

Violations of these terms or other applicable policies

Suspected or confirmed fraudulent activity, e.g., fake ads, misleading information or identity theft

Improper use of the platform, such as harassment, discrimination or other unacceptable behavior

Technical abuse, such as attempts to bypass security systems or automated account creation

Authority decisions or legal obligations

In case of suspension, Workmatch may:

Retain certain information for investigation or legal responsibility

Inform relevant parties (e.g., recruiters or employers) about the suspension where appropriate

8.3 Effects of account termination

You immediately lose access to all account-related features.

Ongoing communication, applications and ads are terminated.

Any remaining payment obligations remain in force according to previous agreements.

9. Confidentiality and data protection

Workmatch processes personal data with great respect for users’ privacy and in accordance with the General Data Protection Regulation (GDPR) and other applicable data protection laws.

9.1 Our commitment

We only collect personal data that are necessary to deliver our services.

We use secure technical solutions and organizational routines to protect your data against unauthorized access, loss or alteration.

We do not share your data with third parties without a legal basis or your consent.

9.2 Your rights

Under GDPR, you have the right to:

Access to what data we have about you

Correction or deletion of incorrect data

Restriction of or objection to processing

Transfer of your data to another party (data portability)

Withdrawal of consent

10. Dispute resolution

These terms shall be interpreted and applied in accordance with Swedish law, regardless of where the user resides or where the service is used.

10.1 Attempt at settlement

In the event of a dispute, misunderstanding or complaint between the user and Workmatch, the parties shall primarily seek to resolve the matter through dialogue and negotiation. The user is encouraged to contact customer service via info@workmatch.io to initiate such a process.

10.2 Legal proceedings

If the dispute cannot be resolved through dialogue within a reasonable time (normally 30 days), it shall finally be decided by the Stockholm District Court as the court of first instance.

10.3 Alternative dispute resolution (consumers)

If you are a consumer (job seeker) and resident in Sweden, you may also turn to the National Board for Consumer Disputes (ARN), provided your case can be reviewed there:

11. Acceptable use policy

To maintain a safe and professional environment for all Workmatch users, the following rules and guidelines must be followed. This policy applies to all users, regardless of role (job seeker, recruiter or company).

11.1 Prohibited activities

It is not permitted to:

Publish or distribute prohibited content

Publish, upload or otherwise distribute material that is:

Illegal

Discriminatory

Threatening or harassing

Pornographic or sexually explicit

Misleading or fraudulent

Offensive or insulting according to generally accepted norms

Resale without permission

Resell accounts, profiles, user data or matching information without written approval from Workmatch.

Unauthorized use for criminal purposes

Use the platform with the purpose of committing, promoting or facilitating:

Fraud

Identity theft

Other illegal or criminal acts

Unwanted communication (spam)

Send unsolicited advertising, mass mailings or other commercial messages without prior consent from the recipient.

Unauthorized information collection

Collect, store or use information about other users without their explicit permission.

Manipulation and security violations

Bypass, disrupt or attempt to influence the platform’s security features

Use automated tools such as bots, scrapers or similar without permission

Attempt to disrupt the technical functionality of the platform

Abuse of reporting functions

Use reporting tools to falsely report other users

Abuse the reporting system to harm or harass

Manipulation of ranking or visibility

Attempt to influence the platform’s algorithms or user visibility through:

Click manipulation

Creating fake profiles

Fabricated ratings, reviews or interactions

11.2 Responsibility for policy violations

Workmatch reserves the right to:

Immediately restrict or terminate accounts that violate this policy.

Remove material that violates the rules without prior notice.

If necessary, report illegal activities to relevant authorities.

Take technical or legal measures to protect the service and other users.

11.3 Reporting function

Users who discover suspicious, inappropriate or improper behavior are encouraged to report it directly via Workmatch’s reporting function or by contacting us at info@workmatch.io. All reports are handled confidentially and with the utmost seriousness.

12. Use of data for AI training

Workmatch strives to continuously improve its services, including through the use of artificial intelligence (AI). To enable this, we may use certain anonymized and aggregated data to train and improve our AI models.

12.1 What is used

We may use interactions with the platform, such as:

Job ads, applications, messages and profiles

User behavior (e.g., clicks, searches, interactions)

Feedback and ratings (in anonymized form)

All data used for AI training are anonymized or aggregated so that they cannot be linked to an individual.

12.2 What is not used

The following are not used for AI training:

Personally identifiable information (e.g., name, contact details)

Content from private messages that is not anonymized

Data from users who have explicitly objected to such use

12.3 Purpose of AI training

Data are used solely to:

Improve matching algorithms and recommendations

Develop new features

Improve quality, security and user experience

12.4 Limitation of liability when using AI

Even though we use advanced techniques and strive to improve our algorithms, our AI model may generate incorrect, inappropriate or unintended matches and recommendations. Users should never rely solely on the system’s suggestions without independently reviewing all content, communication and decision basis.

Workmatch does not guarantee that using the service leads to assignments, employment or business relationships, and assumes no liability for consequences of AI-generated decisions, lack of results or misleading presentations. All use of AI-based features is at your own risk.

12.5 Opt-out

Users who do not want their data used for AI training can at any time choose to exclude their data via the app settings or by contacting us at info@workmatch.io.
